By using the Battle Bus Gaming Van, you agree to the terms outlined below. These terms are in place to help ensure a smooth, safe, and enjoyable experience for everyone involved. We kindly ask that you read them carefully before making a booking or taking part in any of our events.

Definitions used throughout these terms:

We, The Company, and Us refer to Battle Bus Gaming Ltd. Our Staff refers to anyone representing Next Level Gaming Ltd on behalf of Battle Bus Gaming Ltd. The Van refers to the mobile gaming van operated by Battle Bus Gaming Ltd. By proceeding with your booking or using our services, you are confirming that you understand and accept these terms.

Our online booking system secures your date/start timing for your booking, with the full payment or deposit payment option completed. A confirmation email with a follow-up fill-out form will then be sent to create and confirm the perfect party/booking. If the deposit option has been selected, the remaining balance must be paid two weeks before the date of the booking. We understand that sometimes things can happen in life that are unprecedented and unfortunate, so in the event of a cancellation, 50% of the deposit will be refunded when the cancellation is made within three weeks’ notice from the event date. If the cancellation is made with less than three weeks’ notice, no deposit will be refunded.

We will accept a one-time only request to change the date once booked as long as we have been provided with at least three weeks’ notice, also dependant on availability. If three weeks’ notice hasn’t been provided the booking will be treated as a cancellation and therefore no deposit will be refunded. A new booking date will be treated as a brand-new booking.

We always plan to be on time, ensuring our gaming van is set up and ready to rock and roll. We are unable to delay the booked start time. We advise our gamers to arrive 10-15 minutes before the booked start time and will provide you with that information once the booking is confirmed.

Battle Bus Gaming reserves the right to cancel any bookings taken at any stage up to the time of the event due to unforeseen circumstances outside of our control, such as technical issues that can’t be solved or severe weather problems. We will do all we can to provide an alternative future date between us, if this is not possible then payments will be refunded in full.

We aim to provide competitive prices, all listed on our website with no hidden charges. For any bookings outside of our travel range, we’ll offer a decision on any potential bookings as well as any additional fees. Any bookings confirmed outside our travel range, mileage will be taken from Google Maps for a guaranteed fastest possible route to the destination.

It is extremely important to make sure children in our gaming van have access to and play age appropriate games. Bookings will be supervised and steering into game play for all the children to enjoy in a safe environment. We’ll have confirmed age grouping from your online booking and our follow-up form will include an opportunity to stipulate games you wish not to be available to any users. Battle Bus Gaming is not responsible for any games played by an attendee who may be younger than the age rating of the game.

The Battle Bus caters for children parties aged 7 years and upwards. Our youngest users of the Battle Bus are children in Year 3 at school. Unfortunately, our insurance does not cover for children younger than this in the van. You will be able to select age group and find out the maximum number of attendees for each group online when booking. If you are interested in booking us for adult use, corporate event, team building or wedding, please contact us so we can go through the options available for you.

Our consoles are checked for software and game updates on a daily basis, but we don’t have control over when these updates are released worldwide by manufacturers so we can’t guarantee play- ability of all our games. We will always try our best to make sure all of the newest and latest games are available, and game requests are made available for bookings with our follow-up form. In the event a game requires an update during a booked event, no liability will be accepted for the minimal lack of gameplay for any specific game in question.

Battle Bus Gaming prides itself on being punctual to all bookings, arriving with appropriate amount of time required to set up ready to greet all attendees. In the event that we are delayed due to extreme weather or severe traffic conditions, we will be in communication with our bookings through-out to support planning and will honour our gaming time slot. There will be no discount or compensation on the day but we will do our upmost to offer something to compensate any inconvenience to our booking together within 3 days of any booking date.

In the unfortunate instance that a child or adult vomits or has a toilet accident inside the Gaming Van, we reserve the right to pause the event with the extraction of everyone inside to seek to clean the van. Any loss of gaming time will not be reimbursed. If we are unfortunately not able to clean to our satisfaction during the event, we reserve the right to implement a one off charge of £65.00 to compensate for our time to make things right as this also have a knock-on effect with other parties booked that same day.

Arrival: Please make any arrangements require prior to our arrival to support parking of the gaming van. It Is the Event organisers responsibility to ensure there is adequate parking at the agreed location, that the ground is flat, (slanted is not good) and there is adequate access to the proposed parking place. We require 9 metres in length to park and operate, taking into consideration turning and parking access space. It is your responsibility to liaise with neighbours etc that could block our access in. We allow 20 to 30 minutes prior to a booked start time to get parked, plugged in and set up, any delays such as ones listed here may impact on your booked gaming time. We reserve the right to abandon any event upon arrival if we cannot park safely or access the proposed space safely or without your assistance. In this event no refunds will be made of any amount.

11.1

We accept no responsibility for any damage to driveways or ground parked on during the event.

11.2

It is the event organisers responsibility to provide us access to 2 standard plug sockets within 25 metres of our parked position, failure to provide this could mean having to abandon the event with no refunds given.

11.3

Battle Bus Gaming holds no responsibility in the highly unlikely event of any damage caused to the power supply for the event.

We reserve the right to remove anyone inside the gaming bus if we judge their behaviour to be aggressive or disrespectful in any way towards our equipment or operator, and request the support from the booking organiser to do so. Health and Safety for our customers and Battle Bus team is extremely important to us. Any Damage caused to our Equipment or Van during the event that we deem as a result of improper behaviour (intentional) by anyone inside the van will result in the booking party being held financially responsible for the damage to replace as new, at such time we would then also abandon the event with no refunds given. Intentional damage caused to any one of our TV's inside the gaming van will be charged to the booking party to the value of £420.00.

12.1

We do not tolerate bad language, threatening, disrespectful or aggressive behaviour within the Van or towards our staff or other attendees of the event. In reflection to this we reserve the right to remove anyone from the Van as necessary or end the event at any time with no refunds.

12.2

No food or drinks can be consumed within our gaming van.

We take every step to ensure our gaming bus is safe, clean, and fully compliant with Health and Safety regulations. However, all guests enter and exit the Battle Bus at their own risk.

13.1

No food or drink is allowed inside the bus.

13.2

All adult staff members are DBS certified. Proof available on request prior to the event.

13.3

Battle Bus Gaming holds full Public Liability Insurance. Proof available upon request.

13.4

We are not liable for any photo-sensitive reactions experienced by attendees.

We may take photos and short videos for promotional use on our website and social media. This is outlined in our booking confirmation.

14.1

If you'd prefer no photography or video during your event, please let us know in advance. Guests are welcome to take their own photos.

On the day of the booked event, if we experience unforeseen technical issues on site which result in less gaming time or fewer screens available, a discount will be provided after a valuation on a case-by-case scenario after the booked event has been completed.

Our Van is equipped to be self-sufficient for online gaming via 4G, using our impressive Starlink satellite system. In the event we are unable to source sufficient 4G due to bad positioning or in rural areas we may request the use of the event organisers Internet via Ethernet cable, a request to use the event organisers internet will be on the follow-up form after bookings confirmed.

We reserve the right to amend or change any service details we provide, for example, offers, pricing, service maps and time frames without notice. Any booked events will not be affected.

17.1

All the gaming consoles inside the van and all games within are for private use only.

17.2

Battle Bus Gaming does not charge any fees to any event/booking party or the members of any event to play on our consoles, with any use of the games consoles 100% free of charge.

17.3

The fee in question stipulated by Battle Bus Gaming is a hire fee for a set period of time with our specially customised gaming van, the high-tech equipment (not games consoles) and our Battle Bus gaming team providing a one-time event environment for those attending.
